1. Acceptance of Terms

By accessing or using FinalDoc ("the Service"), operated by FinalDoc Technologies Private Limited ("the Company", "we", "us", or "our"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree to these Terms, you may not use the Service.

These Terms apply to all users of the Service, including visitors, registered users, team members, and readers who access knowledge bases published through the Service.

2. Description of Service

FinalDoc is a cloud-based knowledge base platform that enables businesses and individuals to create, manage, publish, and share documentation. The Service includes:

Knowledge base creation and management tools
AI-powered writing assistant (Ved AI) for drafting, editing, and optimizing content
API documentation hosting and management
Custom domain support and portal customization
Embeddable help widgets and AI chatbots
Team collaboration and content management tools
Analytics and feedback collection

The Service is provided on a subscription basis with various plans offering different features and usage limits as described on our pricing page.

3. Account Terms

3.1 Registration. To use the Service, you must create an account by providing accurate and complete information. You are responsible for maintaining the security of your account credentials.

3.2 Account Responsibility. You are solely responsible for all activity that occurs under your account. You must immediately notify us at support@finaldoc.io if you suspect unauthorized access.

3.3 Eligibility. You must be at least 18 years old and legally capable of entering into a binding contract to use the Service. If you are using the Service on behalf of an organization, you represent that you have the authority to bind that organization to these Terms.

3.4 Account Limits. Each subscription plan has specific limits on projects, articles, team members, and AI usage credits. Exceeding these limits may require upgrading to a higher plan.

4. Payment & Billing

4.1 Subscription Plans. The Service is offered through multiple subscription tiers: Free, Maker, Team, Business, and Enterprise. Plan details, features, and pricing are available on our pricing page.

4.2 Billing. Paid subscriptions are billed in advance on a monthly or annual basis. All payments are processed through Stripe, our third-party payment processor. We do not store your credit card information on our servers.

4.3 Currency. All prices are listed in US Dollars (USD). Applicable taxes, including GST for Indian customers, will be added at checkout as required by law.

4.4 Price Changes. We reserve the right to change pricing with at least 30 days' prior notice. Price changes will apply to subsequent billing cycles, not to the current period you have already paid for.

4.5 Failed Payments. If a payment fails, we will attempt to process the payment again. If the payment continues to fail, your account may be downgraded to the Free plan after a 7-day grace period. Your data will be preserved for 30 days.

4.6 AI Credits. Certain plans include a monthly allotment of AI credits for use with Ved AI features. Unused credits do not roll over to the next billing period. Additional credits may be purchased at the overage rate specified in your plan.

5. Cancellation Policy

5.1 How to Cancel. You may cancel your subscription at any time from your account settings or by emailing support@finaldoc.io.

5.2 Effect of Cancellation. Upon cancellation:

Your subscription will remain active until the end of your current billing period.
You will not be charged for the next billing cycle.
After the billing period ends, your account will be downgraded to the Free plan.
Your data (articles, categories, settings) will be preserved and accessible under Free plan limits.

5.3 Data Export. Before cancelling, you may export your content using the built-in export tools (PDF, Markdown, or JSON). We recommend exporting your data before the billing period ends.

5.4 Reactivation. You may reactivate your subscription at any time by selecting a paid plan from your account settings.

6. Refund Policy

6.1 Monthly Subscriptions. Monthly subscriptions are non-refundable. When you cancel a monthly plan, you continue to have access to paid features until the end of your current billing period. No partial-month refunds will be issued.

6.2 Annual Subscriptions. If you cancel an annual subscription within 14 days of the initial purchase or renewal, you are eligible for a prorated refund for the unused portion of the subscription. After 14 days, no refunds will be issued, but you will retain access until the end of the annual period.

6.3 Refund Process. Eligible refunds will be processed to the original payment method within 5–10 business days. To request a refund, email support@finaldoc.io with your account email and reason for the refund.

6.4 Exceptions. Refunds will not be issued in cases of:

Violation of these Terms of Service
Account suspension due to abuse or policy violations
Failure to cancel before the billing cycle renewal

6.5 Free Trial. If a free trial or promotional period is offered, you will not be charged during the trial period. You may cancel before the trial ends to avoid being charged. No refund is applicable for charges incurred after the trial period ends due to failure to cancel.

6.6 Dispute Resolution. If you have a billing dispute, please contact us at support@finaldoc.io before initiating a chargeback. We aim to resolve all billing disputes amicably within 7 business days.

7. Acceptable Use

You agree not to use the Service to:

Violate any applicable law, regulation, or third-party rights
Upload, publish, or transmit content that is unlawful, defamatory, obscene, or harmful
Distribute malware, spam, or phishing content
Attempt to gain unauthorized access to the Service or other users' accounts
Use the Service to store or distribute copyrighted material without authorization
Interfere with or disrupt the Service or its infrastructure
Use automated tools to scrape, copy, or mine data from the Service
Resell or sublicense the Service without our written permission

We reserve the right to suspend or terminate accounts that violate these terms.

8. Intellectual Property

8.1 Your Content. You retain all rights to the content you create, upload, and publish through the Service. By using the Service, you grant us a limited license to host, display, and distribute your content solely for the purpose of providing the Service to you.

8.2 Our Service. The Service, including its design, code, features, and branding, is owned by FinalDoc Technologies Private Limited and protected by intellectual property laws. You may not copy, modify, or reverse-engineer the Service.

8.3 AI-Generated Content. Content generated or modified by Ved AI is provided as a tool to assist your writing. You are responsible for reviewing, editing, and ensuring the accuracy of any AI-generated content before publishing.

9. Data & Privacy

Your use of the Service is also governed by our Privacy Policy, which describes how we collect, use, and protect your personal information. By using the Service, you consent to the practices described in the Privacy Policy.

10. Service Availability

10.1 Uptime. We strive to maintain high availability of the Service. However, we do not guarantee uninterrupted access and may perform scheduled maintenance with reasonable notice.

10.2 Modifications. We may modify, update, or discontinue features of the Service at any time. We will provide reasonable notice for significant changes that affect your use of the Service.

11. Limitation of Liability

To the maximum extent permitted by applicable law:

The Service is provided "as is" and "as available" without warranties of any kind, express or implied.
We do not warrant that the Service will be error-free, uninterrupted, or free of harmful components.
In no event shall FinalDoc Technologies Private Limited be liable for indirect, incidental, special, consequential, or punitive damages, including loss of profits, data, or business opportunities.
Our total liability to you for any claims arising from or related to the Service shall not exceed the amount you paid to us in the 12 months preceding the claim.

12. Indemnification

You agree to indemnify and hold harmless FinalDoc Technologies Private Limited, its officers, directors, employees, and agents from any claims, liabilities, damages, costs, or expenses (including legal fees) arising from your use of the Service, your content, or your violation of these Terms.

13. Changes to Terms

We may update these Terms from time to time. We will notify you of material changes by email or by posting a notice on the Service at least 30 days before the changes take effect. Your continued use of the Service after the effective date constitutes acceptance of the updated Terms.

14. Governing Law

These Terms shall be governed by and construed in accordance with the laws of India, including but not limited to the Information Technology Act, 2000, the Indian Contract Act, 1872, and the Consumer Protection Act, 2019.

Any disputes arising out of or relating to these Terms or the Service shall be subject to the exclusive jurisdiction of the courts in Bengaluru, Karnataka, India.
